Minutaker helps businesses manage WhatsApp-first operations, connected messaging channels, conversation insights, assistant workflows, and short-lived action pages. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you use Minutaker.

Information We Collect

Account and business information, such as your name, business name, role, email address, phone number, organization details, and account settings.

WhatsApp Business information you authorize through Meta embedded signup, including business identifiers, WhatsApp Business Account IDs, phone number IDs, display phone numbers, verified names, access tokens, webhook subscription details, and connection status.

Conversation and customer interaction data processed through connected messaging channels, including message content, sender identifiers, timestamps, attachments, delivery metadata, and related conversation records.

Operational information, such as prompts, pipeline data, assistant activity, logs, diagnostics, device/browser metadata, and usage events needed to provide, secure, and improve the service.

How We Use Information

To provide Minutaker features, including business conversation management, WhatsApp channel connection, internal assistant workflows, lead tracking, pipeline insights, and short-lived frontoffice action pages.

To authenticate users, maintain sessions, process authorized WhatsApp webhook events, send messages you request, and keep connected channels working.

To analyze conversations and generate operational summaries, suggested follow-ups, and business insights for the organization that owns the connected channel.

To protect the service, troubleshoot issues, prevent abuse, maintain auditability, and comply with legal and platform obligations.

WhatsApp And Meta Platform Data

When you connect a WhatsApp Business account, Minutaker uses the permissions and tokens you authorize only to connect the selected business phone number, subscribe the appropriate webhook, receive and process messages for your organization, and perform actions you request.

Minutaker does not sell WhatsApp or Meta Platform data. We do not use WhatsApp message content for advertising. We do not share WhatsApp customer conversations with unrelated organizations.

Access tokens and channel credentials are stored server-side and used only to operate authorized WhatsApp Business features.

How We Share Information

With service providers that help us operate Minutaker, such as hosting, database, storage, logging, analytics, AI processing, and communications infrastructure providers.

With Meta and WhatsApp when required to connect WhatsApp Business accounts, exchange authorization codes, subscribe webhooks, send authorized messages, and receive webhook events.

Within the organization that owns the relevant account or connected channel, according to product permissions and operational needs.

When required by law, legal process, security obligations, or to protect the rights, safety, and integrity of Minutaker, our users, or others.

Data Retention

We retain information for as long as needed to provide the service, maintain business records, resolve disputes, enforce agreements, comply with legal obligations, and support security or audit requirements.

Short-lived frontoffice session tokens are designed for temporary workflows and expire after a limited time. Some resulting records, such as the connected organization channel, may be retained as part of the organization's account history.

Your Choices And Deletion Requests

You may request access, correction, export, or deletion of personal information by contacting us. We may need to verify your authority to act for the relevant organization before completing a request.

You may disconnect a WhatsApp channel or revoke app access through Meta Business settings. Some historical records may remain where retention is required for security, legal, or legitimate business purposes.

To request deletion of Meta Platform or WhatsApp connection data associated with your organization, contact us at the email below and include the business name, connected phone number, and the nature of the request.

Security

We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or alteration.

No internet service can guarantee absolute security. You are responsible for keeping account credentials and authorized Meta Business access secure.

International Processing

Minutaker may process and store information in countries other than your own. Where required, we use appropriate safeguards for cross-border processing.

Changes To This Policy

We may update this Privacy Policy from time to time. If changes are material, we will provide notice through the service or another appropriate channel. The effective date above shows when this policy was last updated.
